How to Sign a PDF Online: Methods, Tips, and What the Law Says

Printing a document, signing it by hand, and scanning it back is slow and gives a poor copy. Most everyday paperwork can be signed on screen in a minute. This guide covers how, how to make your signature look good, and the limits you should know about.
Three ways to create a signature
Sign PDF lets you create a signature in whichever way suits you:
- Draw it with a mouse, trackpad, or finger on a touch screen. It is the closest to your real signature, though a mouse can look wobbly.
- Type your name and have it rendered in a signature style. Quick and tidy, but it looks generic.
- Upload an image of your real signature — usually the best-looking option.
You can also add typed initials and upload a company stamp image, and fill in details such as job title, company, email, location, date, and a reason for signing (approved, verified, witnessed, notarized, acknowledged, or your own words).
How to make a clean signature image
- 1Sign your name on plain white paper with a dark pen — black or dark blue works best.
- 2Photograph it in even light, directly from above, so the paper fills the frame without shadows.
- 3Crop the picture tightly around the signature in your phone’s photo editor and save it as PNG or JPG.
- 4Upload it in Sign PDF. A tight crop on a light background keeps the signature block neat.
Step by step: sign a document
- 1Make sure the document is complete. Fill in forms first with PDF Form Filler, because a signature should be the last thing added.
- 2Open Sign PDF, add the PDF, and create your signature.
- 3Fill in the details you want to appear — only what the recipient needs.
- 4Apply and download the signed PDF. Signing happens in your browser, so your document and signature are not uploaded.
Is an electronic signature legally valid?
In many countries, electronic signatures are legally recognized for a wide range of agreements. In the United States, the ESIGN Act and state laws generally allow them; in the European Union, the eIDAS regulation recognizes several levels. Roughly speaking:
- A simple electronic signature — a typed name, a drawn mark, or an image of a signature, with intent to sign — is accepted for many everyday documents such as quotes, leases, and internal approvals.
- An advanced or qualified electronic signature is tied cryptographically to the signer and often to a certificate from a trusted authority. Some contracts, official filings, and cross-border deals require this level.
The signature block PDF Studio creates is a visible, simple electronic signature. It does not create a certificate-based digital signature. Rules vary by country and by document type — wills, certain property transfers, and some court or government documents may still require ink or a qualified signature. If you are unsure, ask the person or organization requesting the signature what they accept.
Good practice
- Keep the unsigned original and the signed copy.
- Send the signed PDF in a way that suits its sensitivity — for confidential documents, add a password with Protect PDF afterwards and share the password separately (see how to password-protect a PDF).
- Check the final file: open it, confirm the signature block is on the page, and that no field was left empty.
