How to Fill In a PDF Form Without Printing It
5 min readUpdated October 7, 2026By the PDF Studio team
Application forms, tax forms, rental agreements, and onboarding paperwork usually arrive as PDFs. You do not need a printer and a scanner to complete them. What you do need is to know which kind of form you have.
Fillable forms and flat forms
A fillable form has real interactive fields — text boxes, checkboxes, dropdown lists — built into the PDF. You click a field and type. A flat form looks like a form but is just a picture or static page: there is nothing to click, which is typical of scanned forms and forms exported without fields.
Easy test: open the PDF and click on a blank area where an answer goes. If the cursor appears or a field highlights, it is fillable. If nothing happens, it is flat.
Step by step: fill a form
- 1Open PDF Form Filler and add the PDF.
- 2If the form has real fields, they are detected automatically and shown on the page, colored by type: text, checkbox, dropdown, radio button, or list. Click a field and type or choose your answer.
- 3If the form is flat, add your own fields: choose the type (text box, checkbox, dropdown, radio button, or list), then click and size it where the answer should go on the page. Then fill them in.
- 4Download the completed PDF. Your answers are written into the form fields, and everything happens in your browser.
Things worth knowing
- The fields stay editable. The downloaded form is not flattened, so you or the recipient can change answers later in any PDF reader. To lock the answers in, open the completed PDF and print it to a new PDF with your computer’s “Save as PDF” printer.
- Characters. Fields use a standard font, so characters outside the Western European range may not be accepted.
- Older forms. Some older Adobe LiveCycle forms use a technology called XFA that general PDF tools cannot fill. If a form shows no fields and a message about needing Adobe Reader, that is probably why; ask the sender for a standard PDF.
- Quick notes on flat pages. For a one-off answer, Edit PDF’s text tool simply places text anywhere you click.
Finish with a signature
Many forms need a signature at the end. After completing the fields, add it with Sign PDF, which creates a signature block on the last page. Our guide to signing a PDF online explains the options and when a simple electronic signature is enough.
Before sending, open the final file, check that each answer appears where it should, and consider password-protecting the PDF if it contains personal data.
