How to Merge PDF Files in the Right Order

6 min readUpdated October 7, 2026By the PDF Studio team

Merging PDFs is simple, but getting the pages into the right order — and finishing with a document that looks like it was meant to be one file — takes a little planning. Here is a workflow that avoids the most common mistakes.

Plan the order before you merge

Write down what the final document should contain, in order: cover letter, application form, supporting documents, appendices. A merged PDF follows the order in which the files were added, from the first page of the first file to the last page of the last file, so the plan becomes your checklist.

Decide whether any file is not really final. It is far easier to replace one source file and merge again than to repair a long merged PDF.

Name your files so they sort correctly

When you select several files at once in a file picker, they are usually added in the order your computer lists them — often alphabetical. Naming files with a number at the start makes that order reliable:

  • 01_cover-letter.pdf
  • 02_application-form.pdf
  • 03_certificate.pdf
  • 10_appendix.pdf

Use two digits (01, 02 … 10) rather than one, otherwise “10” sorts before “2”.

Merge the files

  1. 1Open Merge PDF and add your files in the order you want them to appear.
  2. 2If a file is in the wrong position, remove it from the list and add it again where it belongs. The merge follows the order of the list.
  3. 3Run the merge and download the combined file. The merging happens in your browser, so your documents are not uploaded.

Pages are copied across without being re-rendered, so text stays searchable and image quality is unchanged. Each page also keeps its original size, so a merge of A4 and Letter documents produces a file with mixed page sizes.

Fix problems afterwards

If a single page ended up in the wrong place, you do not need to start over. Open the merged file in Organize PDF, where every page appears as a thumbnail you can drag into position, delete, or supplement with a blank page.

For a finished look, add continuous numbering with Page Numbers — always as the last step, after the order and page count are final, so the numbers are correct. If the combined file is large, run Compress PDF last.

Pitfalls to watch for

  • Password-protected files. A protected PDF has to be unlocked first with Unlock PDF (you need the password).
  • Bookmarks. The bookmark panel of each original belongs to that file and is not carried into the merged document.
  • Forms. Interactive form fields may not keep working after a merge. If it matters, fill in and finish each form before merging.
  • Very large batches. Merging happens in your device’s memory. If a huge batch fails, merge in two smaller groups and then merge the two results.
